Position Overview:
The Summer Conferences Student Leader is an advanced leadership role designed for experienced Summer Conference Assistants ready to take on greater responsibility. This position expands upon the foundational SCA experience, placing you in a key role with comprehensive responsibility for team supervision, operational coordination, and staff development. You will serve as a crucial link between conference assistants and professional staff, providing daily guidance to the SCA team while maintaining the highest standards of customer service and conference management. This role offers exceptional leadership development in staff supervision, crisis management, and administrative coordination, preparing you for future professional leadership opportunities.
Core Responsibilities:
Leadership and Mentorship:
- Provide direct supervision and mentorship to Summer Conference Assistant student staff, cultivating a supportive and efficient team environment.
- Monitor daily operations, staff attendance, and procedural compliance to maintain high service standards.
- Work with Housing and Residence Life professional staff to optimize scheduling, ensuring consistent and adequate coverage for all conference activities.
- Serve as the primary on-site contact for Summer Conference Assistants, providing immediate guidance and decisive action during emergencies and other urgent situations.
- Facilitate SCA training needs prior to start of conference season as well as team meetings and one-on-one performance management sessions throughout the summer.
Hospitality Services and Guest Relations:
- Serve as primary contact for assigned conference coordinators, building strong relationships and ensuring their program needs are met.
- Conduct pre-arrival outreach calls to conference clients to confirm details and address preliminary questions.
- Attend conference orientation sessions and conference check-in experiences to provide resources and support to new clients.
- Promptly and efficiently address guest requests and complaints, implementing appropriate solutions.
- Provide accessible 24-hour support for urgent guest needs during conference periods.
- Professionally answer and route conference services calls to appropriate staff members.
- Maintain detailed records of all client interactions and service resolutions including post-departure feedback surveys and outreach calls to conference clients.
Safety and Security:
- Carry 24-hour leadership on-duty phone during assigned conference periods.
- Provide leadership and guidance to SCAs during emergency situations and facility needs.
- Monitor building security protocols, including door locking schedules.
- Coordinate and oversee environmental safety inspections in collaboration with facilities staff and identify to address potential hazards.
- Serve as primary point of contact for residential custodial services by submitting emergency and scheduled work orders.
- Ensure emergency readiness by maintaining up-to-date evacuation plans and procedures.
- Mentor SCAs on proper emergency response protocols and facility reporting procedures.
Administrative and Operational Responsibilities:
- Maintain regular office hours for staff support and administrative tasks.
- Complete weekly operational reports, end of conference summaries, and staff performance documentation.
- Coordinate with professional staff on budget monitoring and resource allocation including inventory management for conference supplies
- Lead and manage SCAs facilitating conference group check-in and check-out processes.
- Oversee key preparation and conduct comprehensive key audits to maintain security and accountability.
- Supervise linen management and building preparation inventory, ensuring proper distribution and adequate supply levels.
- Manage end-to-end guest communication, from pre-conference preparation to post- conference follow-up, maintaining detailed records and ensuring timely resolution of all inquiries and concerns.
- Master scheduling and communication, including Microsoft Teams, to coordinate staff assignments, maintain operational logs, and streamline team communication.
- Coordinate Residential Custodial Services (RCS) reports to identify and track facility maintenance needs, ensuring timely resolution of work requests.
- Oversee the preparation of operational summaries, validate accuracy of Teams daily logs, and ensure all information documents are completed accurately and distributed according to established deadlines.

Assists with planning and organizing University events, such as speakers, conferences, or campus gatherings. Duties include coordinating logistics, working with vendors, and managing event details to ensure smooth execution.
Level Summary

Minimum Qualifications
Enrolled for classes at Ohio University, Hocking College, another post-secondary education institution, or a secondary school during the current semester, immediate previous semester, or immediate upcoming semester. Able to follow instructions and complete tasks within deadlines. Basic knowledge of office software and communication tools. Departments may have specific minimum requirements.

- Prior experience in customer service, hospitality, or a related field.
- Previous experience as a Conference Assistant or employee with Ohio University Housing and Residence Life.
- Proven leadership potential and the ability to work effectively in a team.
- High level of maturity, sound judgment, and emotional stability.
Required Qualifications:
- Current Ohio University students enrolled in the spring semester prior to employment.
- Minimum of one semester experience as a Housing and Residence Life staff member.
- Minimum 2.5 cumulative GPA.
- Must maintain good judicial and conduct standing with the University, which includes passing a background check and not being on disciplinary probation.
- Experience with Microsoft Office products and other technology software.
- Demonstrated leadership experience with strong management or mentorship capabilities.
- Excellent problem-solving and prioritization skills with ability to make sound decisions under pressure.
- Outstanding time management and organizational skills.
- Strong conflict resolution and mediation abilities.
- Effective and clear communication skills for training and mentoring team members.
- Demonstrated ability to delegate responsibilities effectively and provide constructive feedback.
- Experience in crisis management and emergency response situations.

Terms of Employment:
- Period of Appointment: The employment period begins with mandatory leadership training at the start of April. Summer Conference Leaders are required to work on campus the week prior to Finals Week to assist with residence hall preparations before general staff arrival. Conference operations run from early May through early August, beginning with mandatory all-staff training in early May. All Summer Conference Leaders must be available for all scheduled “Blackout Dates” during the summer conference season .
- Time Commitment & Schedule: Student Leaders should anticipate a variable schedule based on specific conference operational needs throughout the summer. Summer schedules will be variable, built around the availability provided by eligible staff at the start of the summer. Once assigned, staff are expected to work all shifts for a conference’s full duration. Staff are responsible for ensuring their assigned shifts do not conflict with summer classes, pre-approved time off, or other employment. Any requested changes to a schedule must be approved via written documentation in advance by the Summer Conference leadership team. Additional weekly time will be allocated for leadership responsibilities.
- Attendance Policy: No time off or shift trades are permitted during assigned conference periods except for verified emergencies or academic commitments.
- Mandatory Participation Requirements: Summer Conference Leaders must attend all mandatory training, including SCL training sessions at the start of April. SCL staff must participate fully in all SCA staff training as well as conference-specific orientation programs and regularly scheduled meetings with Conference Services professional staff. Staff will be provided a centralized housing assignment but will be required to transition to temporary assignments during assigned conference dates. While assigned to a conference, staff are required to live in their designated temporary space to support the needs of the hosted program.
- Accountability: Student Leaders are held to the highest professional standards and serve as role models for the SCA team. The accountability system applies to all staff, with major policy violations leading to immediate termination. Continued employment requires successful task completion, positive performance evaluation, and demonstration of leadership competencies.
