Legal Assistant

Job Summary:
The Legal Assistant will provide high level administrative and project coordination support to attorneys and legal professionals, ensuring the efficient management of legal matters, documents, deadlines, and workflows across the department. This role is responsible for preparing, proofreading, and maintaining legal documents and matter files; managing complex calendars and schedules; coordinating multistep project tasks; and facilitating communication and workflow among attorneys, internal departments, and external parties. The Legal Assistant will proactively track deadlines and deliverables, maintain organized documentation and status updates, and ensure timely follow-through on assigned matters. This position requires exceptional attention to detail, sound judgment, and the ability to manage multiple concurrent priorities in a fast-paced, deadline-driven environment while upholding strict confidentiality and a high standard of professionalism in all interactions.
Job Duties:
- Work with attorneys and paralegals to maintain the document management, customer relationship management or other matter management systems, including the maintenance of database spreadsheets.
- Prepare practice-specific documents, update electronic and hard copy files (such as pleadings/correspondence/closing folders/etc.); proofread documents; and copy and scan documents for attorneys as requested.
- Coordinate and track legal projects and matter-related tasks, including monitoring deadlines, deliverables, and status updates across multiple attorneys or departments.
- Assist attorneys with matter planning and workflow management, ensuring tasks are assigned, tracked, and completed in accordance with timelines and priorities.
- Delegate attorney work to appropriate departments as needed due to workload.
- Read, sort, date, and scan incoming mail when requested. Ensure that outgoing mail is delivered timely and specify types of delivery.
- Schedule and calendar meetings and deadlines for attorneys. Maintain consolidated calendars and task lists for active matters and projects.
- Review and reconcile legal bills and prepare same for attorney approval.
- Screen telephone calls and take messages for attorneys when requested. Receive clients and visitors as requested. Maintain high standards of professionalism and excellence in all client interactions and communications. Observe confidentiality of attorney-client relationship.
- Maintain organized project documentation and status tracking for assigned matters.
Requirements
- 2–5 years of experience in a legal administrative, legal assistant, or comparable professional support role within a law firm or in‑house legal department.
- Demonstrated experience supporting multiple attorneys and paralegals simultaneously in a deadline-driven environment.
- Proven ability to prepare, proofread, and manage legal documents, including correspondence, pleadings, and matter files (electronic and hard copy).
- Experience with tracking deadlines, tasks, and deliverables across multiple legal matters or projects and ensuring timely follow through.
- Experience with coordinating workflow and delegating tasks to appropriate departments or internal teams based on workload and priorities.
- Demonstrated experience maintaining attorney calendars, matter timelines, and task lists to support effective matter management.
- Strong experience handling confidential and sensitive information with professionalism and discretion.
- Project Coordination & Workflow Experience
- Experience providing project style coordination for legal matters, such as tracking status updates, monitoring deadlines, and supporting matter planning and execution.
- Ability to manage multiple concurrent assignments while adapting to changing priorities from multiple attorneys and/or paralegals.
- Experience maintaining organized documentation and status tracking for active matters or projects.
- Intermediate proficiency in Microsoft Excel, Microsoft Word and Adobe PDF, including document revisions and formatting
Preferred Experience (Not Required):
- Experience supporting litigation, transactional, or regulatory matters involving multiple steps or deadlines.
- Experience coordinating work across cross functional teams (e.g., document services, records, finance, HR).
- Prior exposure to matter planning, closing checklists, or multi‑phase legal workflows.
- Experience working with document management, customer relationship management or matter management systems preferred (system agnostic).
- Experience with artificial intelligence systems (including Microsoft Copilot)
