Position: Scheduling Assistant
Reports to: Vice President of Operations
FLSA Status: Non - Exempt
Department: Scheduling
Location/Shift: Blue Ash, OH / Split Shift

Essential Function:

The Scheduling Assistant will work with Scheduling, Production Management, Sales Representative, Customer, and Production in a team environment to provide in-house support for client-based administrative functions. They serve as a key support role to the primary Production Scheduler and is responsible for assisting in maintaining accurate scheduling data, system updates, and production visibility across Offset Press/POD/Bindery/Finishing/Direct Mail/Assembly departments. Coordinating closely with Purchasing/Planning/Shipping and Fulfillment.

Job Duties and General Expectations:
  • Works closely with the primary Scheduler to support daily scheduling operations and production planning activities
  • Assist in maintaining accurate production schedules within the ERP/MIS system and scheduling boards
  • Collaborate with Scheduler to implement system updates and adjustments that reflect real-time production conditions
  • Support the documentation and communication of manual scheduling changes when operational adjustments are required
  • Help ensure commitments made to sales and internal departments align with production capacity and established lead times
  • Maintain consistent communication with Scheduler regarding schedule updates, priority changes, and potential conflicts
  • Assist in monitoring production timelines and identifying risks that could impact delivery commitments
  • Support the preparation and review of scheduling reports, daily metrics, and KPI’s related to production flow and lead times
  • Provide an additional layer of oversight to help maintain scheduling accuracy and operational visibility
  • Work collaboratively with internal departments to ensure alignment between scheduling priorities and operational execution
  • Perform other duties as required
Requirements:
  • Strong knowledge of MS Office Software and adapt to learning new programs (PACE, Veracore, etc.)
  • Ability to prioritize daily workload with a strong sense of urgency in a fast-paced environment
  • Dependable and self-driven and proactive in identifying issues
  • Flexibility with schedule (may need to work late hours depending on production activity)
  • High attention to detail and accuracy when updating systems and reports
  • Positive, solution-oriented approach
  • Excellent communication skills with ability to collaborate across departments
Position Specific Skills & Competencies:
  • Working knowledge of PC platforms
  • Working knowledge of applicable modules and reports of current MIS/ERP Solution(s)
  • Working knowledge of Excel, Word, PDF Reader, computer navigation, internet browsing, etc.
  • Ability to generate, interpret, and communicate operational reports and KPIs
  Education:
  • High school graduate/GED
