Job Title: Facilities Maintenance Specialist

Department: Administration

FLSA Status: Non-Exempt PT (25-30 hours per week), Tues – Sat.

Projected Start Date: March 1, 2026; Interviews to begin in February

Reports To: Director of Administration


General Scope:

This position is a master multi-tasker with excellent communications skills, professionalism, hands-on mechanical and repair experience with general facilities and maintenance, including but not limited to electrical, plumbing, installations, etc. as well as maintaining and ordering janitorial inventory, coordinating and scheduling quotes, bids, and service work. The Facilities Maintenance Specialist is responsible for the performance and overseeing of routine, preventative, and break-fix projects at SICSA and maintaining records of facilities activities.

Major Responsibilities:

  • Provides hands-on mechanical and facilities services, including electrical, plumbing, installations (gates & kennels), commercial laundry equipment, mowing, mulching, snow removal, pressure washers, and fleet vehicles.
  • Coordinates and scheduled regular PM and break-fix repairs with HVAC, commercial laundry, fleet vehicles, pressure washer, and chemical companies.
  • Maintains and ensures the accuracy of the facilities records.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Maintains supplies inventory, anticipating needed supplies, placing and expediting orders for supplies.
  • Assists with inventory, maintaining and ordering of all facilities equipment and supplies.
  • Other duties as assigned.

Specific Qualities and Job Skills:

  • Mechanical and repair skills: garage doors, chain-link fences and gates, astroturf, replacing overhead lighting, commercial laundry machines, small sink and plumbing repairs, pressure washers.
  • Coordinating and scheduling specialty service quotes and work.
  • Supervising on-site workmen including external cleaning companies, installers, inspectors, etc.
  • Maintaining & scheduling facilities certificates = backflow, fire alarms and extinguishers, water heater, etc.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication skills with staff, vendors, and workmen.
  • Goal and deadline oriented, with the ability to prioritize effectively.
  • Attention and initiative to respond to facilities & equipment situations as they arise.
  • Strong initiative and ability to work with minimal supervision and direction.
  • Proficient in Microsoft Office Suite.

Education/Experience/Training/Other Requirements

  • Minimum 3-5 years of mechanical & repair work, facilities management, and coordinating, or equivalent education.
  • Familiarity with HVAC, pressure washers, fleet vehicles, garage doors, plumbing, electrical, and mowing and mulching.
  • Ability to work alongside a variety of people (including staff, volunteers, donors, and the general public) and manage conflict professionally.
  • Volunteer engagement advocate; ability to work side-by-side with volunteers to help leverage volunteers and their skills to successfully help deliver on SICSA's mission
  • Enthusiastic about teamwork; ability to work well with staff, volunteers, donors, and the general public to promote SICSA's philosophy and goals.

Physical Requirements

  • Physical ability to climb ladders, riding lawn mower, work under sinks, install gates, reach overhead, lift, bend, and twist, sit for long periods of time and work on a computer.
  • Ability to use most basic hand and power tools (drills, caulk guns, pressure washers, etc.)
  • Ability to use hands to handle, control, or feel objects, tools, or controls.
  • The ability to repeat same movements.
  • The ability to lift up to 75 pounds at a time.

Other Requirements:

  • Ability to read, write, and understand English.
  • May be “on-call” before and /or after working hours for facilities emergencies.
  • Must have a valid driver's license and good driving record as defined by SICSA's current insurance carrier.
  • Must have a philosophy that is consistent with the Mission, Vision, and Core Values of the organization.
  • Must be comfortable around cats and dogs.
