Administrative Assistant
We are conducting a confidential search for an Administrative Assistant to provide high-level administrative and operational support within our defense industry client. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects across departments while maintaining accuracy, professionalism, and confidentiality.
Key Responsibilities:
Maintain calendars, schedules, and official correspondence across multiple departments.
Monitor deadlines and coordinate completion of documents for signature, including letters, notices, memoranda, and instructions.
Support performance evaluations, training, awards, and personnel tracking.
Maintain and update portal sites, libraries, and document repositories weekly.
Assist with agenda preparation, meeting management, content management, tasker tracking, and office administration.
Handle a broad range of administrative functions including facilities, security, travel, and personnel support.
Qualifications:
Minimum 2 years of experience in personnel management, scheduling, planning, programming, task management, and correspondence.
VantageClear Certification (or equivalent) required.
Demonstrated ability to manage multiple functional areas and direct reports across locations.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
Strong analytical, organizational, and problem-solving skills.
Excellent English writing skills; ability to produce high-quality deliverables under tight deadlines.
Outstanding communication, customer service, and interpersonal skills.
Ability to multitask and adapt to shifting priorities.
Bachelor’s degree preferred but not required.
