Accounts Payable & Payroll Specialist

Position Overview
The Accounts Payable & Payroll Specialist is responsible for ensuring accurate and timely processing of payroll and vendor payments. This role requires strong attention to detail, organizational skills, and the ability to maintain compliance with company policies and regulatory standards.
Key Responsibilities
• Process and validate employee timecards and job allocations
• Review payroll entries for accuracy and compliance
• Prepare and submit payroll data for multiple locations
• Enter and process vendor invoices for payment
• Match purchase orders, packing slips, and invoices (three-way match)
• Resolve discrepancies between invoices and purchase orders or receiving records
• Respond to vendor and internal inquiries regarding payments and payroll
• Maintain accurate records and documentation for audits and reporting
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
Education and Experience
Less than high school education; or up to six months related experience or training; or equivalent combination of education and experience. Associate degree preferred but not required. Basic understanding of Accounts Payable functions is needed with extensive experience and proficiency in data entry.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
Mathematical Skills
Ability to add, subtracts, multiply and divides in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
Must have speed and accuracy using normal keyboard including the number pad. Must be proficient in Microsoft Outlook, Excel, and Word experience. Operate a 10 key with speed and accuracy. Familiarity with a purchase order system is a plus.
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee will continuously use fine motor skills, sit, use repetitive motion, left and right, and lift 0-10 lbs. The employee will frequently be required to stand, walk, use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear, and lift 11-25 lbs. The employee will occasionally drive, climb, balance, stoop, kneel, crouch, or crawl, lift 26-50 lbs., with assistance from others or machine. Specific vision abilities required by this job include distance vision, peripheral vision, and depth perception.
Work Environment
The work environment is a standard office environment. The noise level in the work environment is usually quiet. The employee will be continuously work with others. They might occasionally be exposed to noise and moving equipment.
