Medical Assistant / Medical Secretary Float
The Medical Assistant / Medical Secretary Float supports the PACE Interdisciplinary Team (IDT) by providing both clinical and administrative services across the PACE centers. This float position ensures continuity of care for PACE participants by assisting with clinical workflows, medical documentation, scheduling, and coordination of services. The role requires flexibility, strong communication skills, and a participant-centered approach consistent with PACE regulations and standards of care.
Essential Duties and Responsibilities
Clinical Support (Medical Assistant Functions)
- Assist PACE providers and nursing staff with participant care and clinical flow
- Prepare exam rooms, ensuring proper setup, sanitation, and supply availability
- Obtain and document vital signs, weights, and participant health concerns
- Assist with clinical procedures within scope of practice and training
- Perform EKGs, phlebotomy, injections, or other clinical tasks as assigned
- Accurately document clinical information in the EHR in compliance with PACE and CMS requirements
- Support infection control, safety, and emergency protocols
Medical Secretary Functions
- Greet PACE participants, families, caregivers, and IDT members in a respectful and professional manner
- Answer and triage incoming calls; route messages appropriately to the IDT
- Schedule clinic visits, specialty appointments, diagnostics, and follow-ups
- Scan, upload, and index consult notes, results, and external records into the EHR
- Facilitate communication between PACE center staff, external providers, hospitals, and vendors
Float Responsibilities
- Provide coverage across the PACE center, clinics, as needed
- Adapt to varying workflows, provider preferences, and participant needs
- Assist during staffing shortages, high-volume clinic days, or urgent participant needs
- Support IDT coordination to promote continuity and quality of participant care
PACE-Specific Responsibilities
- Support participant-centered care consistent with the PACE philosophy
- Maintain confidentiality and compliance with HIPAA, CMS, and PACE regulations
- Demonstrate cultural sensitivity when interacting with participants and families
- Support quality improvement initiatives and documentation standards
- Participate in PACE training, meetings, and compliance activities as required
Qualifications
Education and Experience
- High school diploma or GED required
- Medical Assistant certification preferred (CMA, RMA, or equivalent)
- Minimum [12] years of experience in a healthcare or medical office setting
- Experience working with older adults or frail populations preferred
- EHR experience required

- Excellent verbal and written communication skills
- Ability to work collaboratively within an interdisciplinary team
- Flexibility and willingness to float between roles and locations

Physical Requirements
- Ability to stand, walk, bend, and sit for extended periods
- Ability to lift to 50 pounds
- Ability to assist participants with mobility as needed
- PACE center, clinic, and medical office settings
- May include exposure to communicable diseases
