Description

The district manager will provide supervision of the day to day administrative, financial and maintenance operations of each community in their portfolio. The district manager is responsible for the smooth operation and viable financial condition of each property under their supervision in accordance with the following guidelines:

Personnel

  • Train, direct and supervise personnel.
  • Enforce company policies and procedures.
  • Hire and maintain property personnel.
  • Strictly adhere to Federal and State Fair Housing and Civil Rights Laws in regards to hiring or working with employees.
  • Conduct annual performance reviews with personnel.
  • Make sure ALL employees are completing the Grace Hill classes within the scheduled time allotted.

Administrative

  • Sets properties financial, occupancy and business goals monthly.
  • Responsible for office opening on schedule and maintaining the condition of the office.
  • Ensures that lease files are complete and that completion of leases is being executed properly.
  • Effectively communicate with all personnel regarding policies and procedures.
  • Exercise good business judgment at all times.
  • Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act and all other laws pertaining to apartments.

Financial

  • Ensure that all rents are collected when due and posted in a timely manner.
  • Make recommendations for rental increases.
  • Prepare recommendations, indicating improvements, projects, for a yearly budget. Review budgets and make recommendations.
  • Follow budget guidelines and report variances with explanations.
  • Responsible for approving and submitting all invoices to corporate office for payment.

Maintenance

  • Insure that all service requests are completed satisfactorily and in a timely manner.
  • Walk site weekly to detect potential problems.
  • Follow up daily on all major maintenance projects underway.
  • Respond immediately to all emergency situations.

Resident Relations

  • Handle special resident problems and monitor all problems that may be handled by other employees.
  • Maintain positive customer service attitude and train on-site personnel on attitude toward resident services.

Marketing/Leasing

  • Make sure competition is shopped regularly (by on-site property staff) and have knowledge of their rentals, policies, lease terms, property terms, property conditions, etc.
  • Insure that all vacancies are inspected and ready to lease.
  • Make recommendations for special leasing programs to enhance leasing efforts when a decrease in occupancy occurs.
  • Inspect curb appeal weekly.
  • Analyze leasing performance weekly and make recommendations for improvement.
  • Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
  • Make sure market surveys are preformed quarterly.

Employee Relations

  • Ask the employees to do things, rather than “demand”, and explain why certain things are done in the required manner.
  • Praise employees for a job well done.
  • One on one with correcting a mistake – never chastise in front of other people.
  • Take problem to the person and never to other employees unless absolutely necessary.
  • Monitor employees performance and time at work.

General

  • Know and perform when necessary the manager, assistant manager and leasing consultant position.
  • In the absence of the manager, the district manager will perform all daily on-site operations for that property while maintaining their portfolio as district manager.
