Administrative Services Associate

Overview We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong organizational skills, the ability to manage multiple tasks efficiently, and a commitment to delivering excellent customer service.
Duties
- Manage daily office operations, including scheduling appointments and maintaining calendars.
- Assist with processing checks. This includes logging the receipt of the check, making a remote deposits along with documenting the transaction and providing the backup documentation to the accounting department.
- Assisting with quarterly building/property inspections and providing feedback to the operations manager regarding an immediate maintenance issues
- Monitoring Utility usage and escalating any spike in usage to operations manager.
- Provide administrative support to various departments, ensuring effective communication and collaboration.
- Handle customer inquiries and provide support via phone systems and in-person interactions.
- Maintain organized filing systems and manage office supplies inventory.
- Assist with calendar management, coordinating meetings, and preparing necessary documentation.
- Support office management tasks, including data entry and maintaining computerized records.
- Facilitate communication between staff members and clients, ensuring timely responses to requests.
- Assist in the training of new staff members as needed.
Experience
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in using office software (Appfolio and Excel) and computer systems for data management.
- Experience with calendar management and customer support is highly desirable.
- Bilingual candidates are encouraged to apply, as this will enhance communication with diverse clientele.
- Familiarly with a property management office is a plus.

Job Type: Contract
Pay: $18.50 - $30.00 per hour
Expected hours: 20 - 40 per week
