About the Role: Customer Care Coordinator
We're seeking a Customer Care Coordinator who thrives on helping others and making systems run smoothly. You'll be the friendly, knowledgeable point of contact who ensures every client gets the care, equipment, and information they needaccurately, efficiently, and compassionately.
Key Responsibilities
Serve as the first point of contact for incoming calls, faxes, and inquiries.
Accurately process new customer orders and ensure documentation is complete.
Schedule equipment evaluations and adjustments with clients and referrals.
Upload and manage order documentation (FME, LMN, chart notes, etc.).
Keep teams informed on order status and coordinate equipment deliveries.
Communicate insurance coverage, deductibles, and out-of-pocket costs to clients.
Support financial processes by collecting and processing payments.
Reconcile completed deliveries and prepare orders for billing.
Research product details using vendor tools and websites.
Maintain accurate provider contact information and assist with outreach.
Handle mailings and assist clients with missing medical documents.
Forecast delivery timelines and report monthly activity.

Qualifications and Skills
Required:
High school diploma or GED (Associate degree preferred)
3+ years in a fast-paced, customer-facing office or call center role
Strong multitasking and problem-solving skills
Friendly, professional, and service-oriented communication style
Proficiency with Microsoft Office tools
Strong written and verbal communication skills
Preferred:
Experience in healthcare, insurance, or durable medical equipment (DME)
Familiarity with medical documentation requirements
