Payroll Specialist
Base Salary: $25–29/hr
JOB FUNCTION:
The Payroll Specialist is responsible for accurately processing and administering payroll for U.S. and Canadian employees. This includes wage calculations, deductions, garnishments, and auditing payroll data. The role ensures compliance with federal, state, and provincial laws, supports employees with payroll inquiries, troubleshoots system issues, and collaborates with HR and Finance teams. A successful candidate will have strong analytical skills, high attention to detail, and deep knowledge of payroll systems, tax regulations, and reporting requirements.
ESSENTIAL FUNCTIONS:
Process multi-state and multi-province weekly, bi-weekly, and semi-monthly payroll cycles.
Enter and validate payroll data, including hours worked, direct deposit information, and deductions.
Calculate retroactive wage payments and adjustments.
Administer garnishments, child support orders, levies, and bankruptcies in compliance with legal requirements.
Coordinate benefits-related payroll deductions with the benefits partner.
Analyze payroll discrepancies and implement timely corrections.
Respond to and resolve employee payroll-related questions and concerns.
Process ADP password resets.
Manage W-2 reprint requests and assist employees with electronic delivery enrollment.
Ensure compliance with federal, state, local, and provincial tax regulations and stay up to date with changes.
Support payroll and timekeeping system upgrades, testing, and implementations as needed.
Complete assigned training and conduct monthly safety observations.
Perform other payroll-related duties as assigned.
QUALIFICATIONS:
Proficiency in payroll systems and software, including Microsoft Office, JD Edwards, Business Intelligence, and ADP Workforce Now (WFN).
Strong analytical and numerical skills with the ability to reconcile payroll discrepancies.
Excellent organizational and time management skills to meet tight payroll deadlines.
In-depth knowledge of multi-state payroll tax laws; Canadian payroll experience preferred.
Effective verbal and written communication skills for explaining payroll processes and resolving issues.
Associate's Degree in Business or related field preferred.
High School Diploma required, with a strong foundation in bookkeeping.
3–7 years of experience in multi-state payroll processing.
