Role Description
We are seeking a full-time administrative assistant to begin work at the firm’s downtown Columbus office. This role will fulfill administrative support duties. The ideal candidate will be detail-oriented, proactive, and proficient in customer service and Microsoft Office. If you are highly organized and have a positive attitude, we encourage you to apply.
Primary Job Duties
- Develop marketing materials tailored to target clients, including email campaigns, digital ads, website design, and presentations.
- Assist in the coordination, organization, and execution of office projects and events, ensuring operational efficiency and adherence to deadlines.
- Perform PDF scanning of documents to preserve the physical and electronic filing system and maintain received correspondence, court filings, and more.
- Observe confidentiality of attorney-client relationship.
- Prepare and distribute billing correspondence, including drafting cover letters for attorney invoices and managing the mailing of client bills.
- Provide other administrative duties including preparing/revising legal drafts (e.g., responses to complaints, discovery requests and responses, notices, subpoenas, motions, and records requests), filing/serving legal documents, maintaining electronic files, and distributing incoming mail to respective attorneys.
- Assist attorneys as needed, performing a wide range of clerical and administrative tasks, contributing to the efficient daily operations of the firm.
Required Qualifications
- Associate’s degree or higher.
- Advanced proficiency in Microsoft Office (Word, PowerPoint, and Excel).
- Proficiency in Adobe Acrobat, Zoom, and Canva software.
- Excellent spelling, grammar, and proofreading skills.
- Working knowledge of computers and internet.
- Ability to organize, prioritize, and produce quality work.
- Excellent interpersonal communication skills, both verbal and written.
- Adaptable to changing demands from multiple people.
- Detail and deadline oriented; able to complete assignments in a timely manner.
- Self-motivated and flexible.
Preferred Qualifications
- 1-3 years of administrative/receptionist experience, preferably in a law firm.
- Knowledge of court filing procedures, including electronic filing.
