WOOSTER COMMUNITY HOSPITAL JOB DESCRIPTION

Manager, Sterile Supply

Under the direction of the Director of Surgery, the Sterile Supply Manager is responsible for monitoring and maintaining inventory supply levels in the Sterile Supply department. The Manager is responsible for providing resources, processing special orders and coordinating services. In conjunction with the Director, the Manager is responsible to assure contract compliance is maintained and is responsible for coordinating product reviews in the department. The Manager is responsible for reporting issues, concerns and feedback to the Director. Maintains compliance of all accreditation and regulatory bodies in relation to supply processing, sterilization and storing of supplies. Follows WCH Nursing Philosophy and appropriate Service Standards as outlined in Employee Handbook.

RESPONSIBLE TO: Director, Surgical Services

MUST HAVE REQUIREMENTS:

  • High School diploma or GED
  • Experience working with external customers, vendor interactions
  • 3 years sterile processing experience
  • Maintain sterile processing certification
  • Previous Leadership/Supervisory experience
  • No written Discipline in the last year

PREFERRED ATTRIBUTES:

  • Computer experience with current knowledge in Word and Excel
  • Health care leadership certification

OTHER REQUIREMENTS:

Employees in this position may be:

  • Exposed to blood, body fluids and/or airborne pathogens and are required to wear barriers
  • Able to work flexible schedule

  • Employees in this position must be able to push, pull, lift, carry, turn, crouch, and bend as necessary to complete nursing care tasks

Communication

In conjunction with the Surgery Director:

  1. Demonstrates ability to have and manage a crucial conversation. Coaches staff in development of the ability to have crucial conversations.
  2. Utilizes AIDET (Acknowledge, Introduce, Duration, Expectations, Thank You) strategies to foster positive communication
  3. Demonstrates conflict resolution skills. Mentors staff in development of communication and conflict resolution skills.
  4. Conducts and documents staff meetings/communication sessions
  5. Maintain formal and informal methods of communication of changes in practice, policies, procedures, expectations, performance improvement. Ex: department bulletin boards, email, Intranet, departmental sites, educational sessions
  6. Maintains awareness of verbal / non-verbal communication in interactions with staff, other departments, customers, physicians, patients and families
  7. Maintains patient and staff confidentiality in all communication interactions: written, verbal, electronic and digital
  8. Facilitates collaboration and communication with physicians and all members of the healthcare team
  9. Facilitates staff debriefing after significant critical event
  10. In conjunction with the Surgery Director develops, implements, and communicates policies and procedures which effectively meet regulatory, human resources, quality and risk management requirements

Operations

In coordination with the Surgery Director and Clinical Manger OR; plans, directs, and coordinates operations of the department:

  1. Staff meetings / communication sessions are conducted and documented
  2. Oversees daily flow of the department including assignment planning, assessment of departmental needs, and develops methods of communication and monitoring the off-shift activities

  1. Approves unit schedule and vacation requests
  2. Maintains ongoing effective and collaborative communication with the medical staff
  3. Fosters interdisciplinary collaborative relationships
  • Is an advocate for patients/ family and staff
  • Takes appropriate action on patient/family/staff/physician issues and concerns
  • Collaborates with all hospital departments to meet the hospital's mission, vision and value statement
  1. Participates in marketing strategies for department/hospital as applicable

  1. Investigate and follow up on incident reports as assigned / indicated by the Director

  1. Manage inventory and supplies to maximize cost effectiveness and utilization while monitoring for outdates and expirations. Collaborates with Surgery staff regarding availability, usage, charges and volume of supplies. Reviews the OR schedule in advance to determine that resources, equipment and supplies are available.

  1. Maintains product information system

  1. Monitors all recall information and takes appropriate action

  1. Maintains item dictionary of surgical instrumentation and supplies. Organizes the service(s) and keeps the preference cards up to date. Organizes and keeps instrument trays current.

  1. Assures that all purchasing activities conducted comply with the purchasing policies and procedures adapted by the hospital under the direction of the Materials Manager

  1. Meets with Industry Rep and forwards information to Director / Materials Manager. Assists with product evaluation.

  1. Notifies Director when in-service and continuing education programs are needed for new products and equipment

  1. Inspects equipment and instruments, documents the trend and initiates POs for repair/replacement as needed. Coordinates repairs through Biomed and outside companies as needed.

In coordination with the Director, is responsible for fiscal management through the capital, operating and FTE budgets:

  1. Develops and manages unit budget, proactively developing methods to improve financial performance. Maintains awareness and understanding of financial tools available.
  2. Assesses departmental needs to staff appropriately for acuity while maintaining fiscal responsibility
  3. Maintain awareness of hospital financial data, ongoing healthcare policies/ trends and their impact on department

Customer Service

  1. Displays positive attitude. Treats others with honesty and respect. Speaks positively in all customer interactions internal and external.
  2. Use AIDET (Acknowledge, Introduce, Duration, Explanation, Thank you ) to:
  • Develop/maintain a positive relationship with other departments which fosters interdisciplinary collaborative customer relationships
  1. Intervene with staff and or vendors, using crucial conversation skills in situations in which customer needs have not been met to determine a positive, mutually agreeable resolution

Staff Development / Professional Growth:

In conjunction with the Director, other Clinical Managers (OR/ENDO. AC/PACU) and / or Educator:

  1. Facilitates the ongoing educational and professional growth opportunities for all employees including employee orientation, PI education and required hospital in-services
  2. Annual/ ongoing competency validation to assure proficiency in performing assigned tasks
  3. Promotes and monitors staff compliance with hospital expectations. Counsels staff and documents deficiencies, sets improvement objectives, completes follow-up.
  4. Completes assigned performance evaluations within specific time limits
  5. Demonstrate professional growth by attending conferences, leading committees/department projects and ongoing educational activities. Obtains specialty certification or training and maintains membership/being active in professional organizations.
  6. Demonstrates initiative and accepts responsibility for personal/ professional growth
  • Identifies own learning needs, develops and implements a plan to address those needs
  • Seeks guidance/input from peers, supervisor and direct reports, as necessary, to identify areas for growth
  1. Accept feedback as opportunity for growth
  2. Demonstrates knowledge and understanding of new policies and procedures, practices, changes in practice, and initiatives. Obtains this knowledge via staff meeting attendance, reading of communication, required hospital education, discussion with departmental leadership and peers

Performance Improvement

In conjunction with the Director:

  1. Develops unit key measures with input from all employees
  2. Consistently utilizes PI principles for inter/intra departmental interactions
  3. Develops tools and collects data as indicated
  4. Uses data to drive Performance Improvement: able to aggregate data and present information so that Director / staff can determine a course of action.
  5. Initiate/communicate changes in practice based upon PI data
  6. Maintain mechanism to inform staff of PI processes and data
  7. Leads or participates in multidisciplinary PI teams improving WCH processes
  8. Develop and maintain awareness of DNV, CMS (Centers for Medicare Services) and other required quality and safety measures
  9. Develop and maintain ongoing understanding of best practices for the types of patients served
