Minimum Starting Salary: $20.73/per hour

What You Will Do – Essential Job Duties

Employee will report directly to the Director of Volunteers & Child Enrichment and provide administrative support to Volunteer Coordinators, Program Leads, and other departmental staff. This role will also collaborate closely with HR, Fiscal, and Records for background checks, documentation, and compliance processes, serving as a central administrative hub for the department.

  • Manage all incoming youth mentor referrals from agency caseworkers.
  • Add youth mentoring services in SACWIS and ensure all required documentation is uploaded to OnBase.
  • Conduct internal SACWIS checks for potential volunteers and coordinate sheriff, BCI, and FBI background screenings.
  • Respond to community inquiries related to donations, volunteering, and mentoring via phone and email.
  • Maintain coverage of the Volunteer Department phone line and voicemail.
  • Manage the Volunteer Department Outlook email in box and shared calendar.
  • Communicate with caseworkers regarding youth mentoring referrals and match status.
  • Maintain coverage of Volunteer Department shared in boxes and calendars.
  • Organize and route internal and external communications.
  • Maintain accurate and current records for youth/mentees and volunteers within SACWIS, Excel, OnBase, and the K-Drive.
  • Maintain office and program supply inventories.
  • Oversee organization of the departmental storage closet currently located in the Family Center, as well as any additional departmental storage areas.
  • Coordinate with Purchasing to request and process purchase orders (POs) for food, supplies, and other items needed for departmental operations and events, including, but not limited to In Person Mentor Orientation and Trainings.
  • Track mentor referrals across short- and long-term departmental tracking systems, including the Department Data Hub, Excel, and the K-Drive.
  • Process volunteer applications, schedule fingerprinting, and track onboarding progress.
  • Maintain communication with volunteer applicants from initial inquiry until assignment to a Volunteer Coordinator or withdrawal from the process.
  • Draft and send orientation and training reminder emails.
  • Track orientation, training, and match completion in OnBase, SACWIS, and other departmental databases.
  • Facilitate communication between new and approved volunteers, Volunteer Coordinators, caregivers, and other program or agency staff.
  • Maintain coverage of the Holiday Wish phone line and voicemail.
  • Process in-kind and gift card donations in Groundworks.
  • Prepare and send donor thank-you letters.
  • Support scheduling, transportation coordination, and donation logistics for Family Shopping Days.
  • Manage donation overflow, inventory tracking, and coordination with Fiscal and Records.
  • Other duties as assigned

Minimum Qualifications:

  • Ability to calculate fractions, decimals, and percentages and to read and write common vocabulary plus 3 courses in public relations (or 3 mos. exp.); or equivalent.

Preferred Qualifications:

  • High school graduate; 4 years clerical exp., typing speed of 50 wpm.; business school/college may be substituted for part of required experience; good writing and communication skills. Proficiency in Outlook, Office 2007. Excellent organizational/computer skills, time management, multitasking

Experience with the following is a bonus:

  • Experience supporting program operations (e.g., events, trainings, orientations, or community programming)
  • Familiarity with tracking systems, database, or shared drives (e.g., Excel trackers, document repositories, internal databases)
  • Experience coordinating with internal departments such as Fiscal, Purchasing, Communications, Facilities, or IT
  • Experience with process improvement, workflow coordination, or standard operating procedures (SOPs)
  • Experience working in fast-paced, deadline-driven environments
  • Demonstrated experience providing administrative support to a team or department, including scheduling, correspondence, and document management.

Certification or Licensure: Must have a valid Ohio Driver’s License with automobile insurance that complies with Franklin County Children Services agency policy. Travel can occasionally include out-state-travel which may require airline travel.
