Position Overview:

The Spa Coordinator is the first point of contact for clients and plays a critical role in delivering a positive and professional guest experience. This position is responsible for managing the front desk, scheduling appointments, checking clients in and out, and supporting daily spa operations. The ideal candidate is polished, friendly, organized, and able to multitask in a fast-paced medical spa environment.

Key Responsibilities:

• Greet clients warmly and ensure a professional, welcoming environment

• Answer phones, respond to inquiries, and provide accurate information about services, pricing, and providers

• Schedule, confirm, and modify appointments using spa software (Zenoti)

• Check in/out clients efficiently and accurately process payments

• Educate clients on services, memberships, promotions, and skincare products

• Maintain a clean, organized, and stocked front desk/reception area

• Communicate effectively with estheticians, injectors, and other spa staff to ensure a seamless experience

• Assist with daily reports, inventory tracking, and end-of-day reconciliation

• Support in maintaining patient confidentiality and adherence to HIPAA standards

• Handle client concerns or complaints professionally and escalate when needed

• Promote add-on services, packages, and retail products

Qualifications:

• High school diploma or equivalent required

• 1+ year experience in front desk, reception, or administrative role (spa, medical office, or hospitality preferred)

• Knowledge of Med Spa services such as facials, laser treatments, Botox, and fillers is a plus

• Proficient with scheduling software and computer systems

• Excellent verbal communication and customer service skills

• Ability to multitask, stay organized, and remain calm under pressure

• Professional appearance and demeanor

• Willingness to learn spa products and treatments to provide accurate information to clients

• Flexibility to work evenings, weekends, and holidays as needed
