Data Specialist
Precision Steel Services, a trusted steel supplier in the Midwest since 1974, is seeking a dedicated and detail-oriented Quote Data Specialist (QDS) to join our team. The QDS team is responsible for ensuring the accuracy and efficiency of quote order entry, data management, and customer communication within an office environment. This role supports sales and production by maintaining precise records, preparing accurate documentation, and ensuring smooth data flow across departments. The QDST plays a key role in customer satisfaction and internal efficiency. This is an in-person position, ideal for someone who values teamwork, precision, and contributing to a company that is committed to quality.
Responsibilities
- Quoting & Pre-Sales Support: Collaborate with account managers and estimators to prepare accurate quotes and provide pre-sales support.
- Accurate Data Entry & Order Processing: Enter and maintain customer orders in the ERP system, ensuring all product specifications, quantities, pricing, and delivery requirements are correct.
- Customer Communication & Phone Reception: Serve as the first point of contact for customers by answering phone calls, responding to inquiries, and directing calls to the appropriate departments.
- Product & System Knowledge: Develop a strong understanding of company product offerings, including various steel types, and stay current on ERP systems and tools.
- Review & Edit Data: Regularly review and update data to maintain accuracy and data integrity, working with management as needed.
- Documentation Management & Reporting: Prepare, manage, and ensure the accuracy and completeness of all relevant documentation and reports.
- Problem Resolution & Quality Control: Identify and resolve issues during order processing, collaborating with internal teams to ensure quality and customer satisfaction.
- Collaboration with Teams: Work closely with other departments to align on customer requirements and ensure seamless operations.
- Compliance & Industry Standards: Ensure all orders comply with company standards and customer specifications.
- Continuous Improvement: Proactively seek opportunities to improve data entry, order processing, and office workflows.
- Perform Other Related Duties as Assigned: Perform other related duties or special projects as assigned by management.
Qualifications
- High school diploma or equivalent required.
- At least one year of experience in a similar role (preferred).
- Strong analytical and problem-solving skills.
- Excellent verbal and written communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Ability to work under pressure and meet deadlines while maintaining a positive attitude.
- Proficiency with computers, including email, Microsoft Teams, and Excel.
- Typing speed of at least 60 words per minute (preferred).
- Mechanical or engineering mindset is a plus.
- Ability to read and interpret technical prints (preferred).
