About the Role

Gaslight Property is seeking a dependable and detail-oriented People & Operations Coordinator to support our Vice President by helping ensure key people processes are completed accurately and on time.

This role focuses on keeping things running smoothly by supporting established processes—handling documentation, follow-ups, scheduling, payroll processing, and internal communications to help ensure nothing falls through the cracks. The right candidate will be highly organized, proactive, and comfortable juggling a variety of administrative tasks that contribute to the day-to-day success of the team.

Key Responsibilities

People & Hiring Process Coordination

  • Assist with posting job requisitions and organizing incoming resumes
  • Schedule interviews and help document outcomes and next steps
  • Track hiring, onboarding, and orientation progress to ensure timely completion
  • Maintain accurate and up-to-date employee records and documentation
  • Monitor due dates for performance reviews and pay changes, and follow up as needed
  • Support communication and planning around employee events and updates

Payroll & Timekeeping Support

  • Process bi-weekly payroll, ensuring accuracy and timeliness
  • Review timecard submissions for completeness and compliance
  • Maintain payroll records and assist with reporting as needed
  • Respond to employee payroll or timekeeping questions and escalate when necessary

Employee Engagement & Admin Tasks

  • Manage and regularly update the internal employee social platform to keep staff informed, connected, and engaged
  • Assist with planning and logistics for staff events, trainings, and team outings
  • Organize and manage expense report receipts and documentation

Office & Systems Support

  • Track and organize corporate tech inventory (laptops, logins, devices)
  • Assist with user account setup, password resets, and light troubleshooting
  • Manage office supply levels, coordinate with vendors, and support overall office upkeep
  • Manage the phone system, including user setup, updates, and troubleshooting

Risk Management

  • Documentation and reporting of incident reports
  • Follow-up and insurance coordination
  • Safety Training Implementation

What You Bring

  • 2–4 years of experience in administrative support, HR coordination, or office operations
  • Prior experience processing payroll (in-house or via a provider)
  • Strong organizational and follow-through skills
  • Ability to manage sensitive information with professionalism and discretion
  • Clear, timely communication and a helpful, team-focused mindset
  • Comfortable using Microsoft Office and other software platforms

Bonus Points

  • Familiarity with payroll platforms (e.g., ADP, Gusto, Paychex)
  • Experience using HR or applicant tracking systems
  • Light IT support or inventory tracking experience
  • Experience managing internal communications or company social platforms
