Tuesday- Saturday: 7:30am-3:30pm

POSITION SUMMARY (MISSION): As a Spa Coordinator at Identity Skin Spa, you are the first point of contact for our valued clientele. Your warm and welcoming demeanor will set the tone for their luxury spa experience. You will play a crucial role in maintaining our Standard of Excellence in customer service in all points of contact and ensuring all clients receive exceptional service from the moment they walk through our door or contact us. Our Spa Coordinators are also knowledgeable in products and services to properly educate and upsell client experiences for the client’s benefit. You will be accountable for achieving front desk monthly sales goals and ensuring our service providers maintain a 70% or higher booking rate.

OBJECTIVES (OUTCOMES):

  • To help grow the company revenue by 50% by end of 2025
  • Scheduling Optimization: Help spa providers maintain 70% or higher booking rate. Continuously monitor appointment slots to ensure there are no gaps or overlaps in our schedule. Adjust schedules as needed to accommodate last minute changes. Ensuring that our waitlist clients are cared for and scheduled.
  • Expected to hit all front desk monthly sales goals
  • Client Service: Upholding our exceptional standard of customer service by ensuring all client needs are met and ensuring they always feel comfortable, cared for and welcome.
  • Appointment Scheduling : Manage client appointments utilizing our spa software to schedule and confirm appointments, as well as address rescheduling, cancellations, and no shows.
  • Product and service knowledge: Understand all service offerings as well as products and current promotions to effectively promote and upsell clients for their satisfaction.
  • Phone, Email and Social Media Communications: Answer phone calls/ texts, DMs, and emails promptly, providing in depth information about our services, pricing and availability. And assisting our clientele with anything else they may need.
  • Check In/ Check Out: Efficiently handle the check in and check out processes, ensuring accuracy in all service and product payments, pre-orders, pre- booking appointments, retail sales and upselling to clients.
  • Marketing/ Media: Aid the spa with posts and stories for social media to increase sales and use systems, such as Canva, for designing marketing materials.
  • Maintain Reception and Common areas: Cleanliness is extremely important to us here at Identity Skin Spa so always ensure the reception area, meditation room, changing rooms, sauna room, and bathroom are always clean and well kept. All retail shelves are stocked and organized.
  • Client Record Keeping: Maintain and update client records; including contact information, cards on file, rewards system, memberships, service/product history and all special occasion/ requests or preferences.

  • Cash Handling: Handle cash, Cherry, and credit/debit card transactions accurately
  • Assist Service providers: Support our staff by communicating client needs, side tasks such as folding laundry and printing forms, aiding with appointment flow, and ensuring all appointments run on time and smoothly.
  • Problem Resolution: Going above and beyond to address client concerns and issues with empathy and respect, referring to management when necessary.
  • Adherence to policies: Ensure all booking procedures, company protocols and company policies are enforced and followed consistently.

  • Exceptional communication and listening skills

  • Experience in High End Sales, experience with hitting sales goals
  • Must have experience working in a similar role, such as retail or previous receptionist position. Our holiday events require comfortability with a fast paced environment.
  • Demonstrates ability to quickly and proficiently understand and absorb new information.
  • Professional appearance and demeanor
  • Strong organizational skills and attention to detail is a must.
  • Proficiency in computer skills and spa software
  • Flexibility to work possible Sundays and evenings for spa events outside normal hours as needed
  • Proactive
  • Enthusiasm: Exhibits passion and excitement over work and has a can do attitude
  • High Standards: expects personal performance and team performance to be nothing short of the best

Education and Experience

  • 3 years customer service experience
  • 1 year Sales/ Retail Experience (preferred)
  • Bonus if you have Marketing background

Language

  • English (required)

Physical Requirements:

  • Prolonged periods of sitting, standing, reaching
  • Ability to carry up to 10 pounds
  • Repetitive hand and wrist movement
  • Typing Proficiency

Bonus if you are knowledgeable and proficient in these systems:

  • Vagaro, Google Docs/Sheets, Google Drive, Gmail, Canva, Facebook/ Business Suite, Instagram, Tiktok, Cherry Financing, Kajabi, OpenPhone, Zoom, and Manychat
  • Familiarity with product lines such as: Eminence Organic Skincare, Face Reality, Tizo, Hydrinity, Circadia, Arete, Oway
