Hamilton Raye is a fractional executive assistant agency that provides administrative support to other businesses. This is a REMOTE role, and we’re looking for someone in the United States. At this time we are only hiring in the following states for this role: Ohio, Colorado, Florida, North Carolina, Missouri, and Illinois. If you do not live in one of these states, please do not apply as you will not be considered.

We are seeking a part-time flexible Dedicated Executive Assistant to support a dynamic sales leader. The ideal candidate has experience supporting sales executives, demonstrates exceptional boundary-setting and communication skills, and thrives in environments with shifting priorities and bold, high-powered personalities.

Responsibilities:

  • Provide high-level Executive Assistant support to a sales-oriented executive, ensuring they are prepared, organized, and focused on high-priority initiatives.
  • Comfortable working alongside a team of Executive Assistants.
  • Proactively anticipate needs by identifying challenges before they arise and delivering effective solutions.
  • Prepare executives for meetings by organizing materials, drafting agendas, summarizing information, and ensuring follow-up.
  • Build and maintain professional relationships with clients, demonstrating trust, discretion, and consistency.
  • Expertly manage complex calendars across time zones, resolving conflicts and proactively communicating changes.
  • Coordinate complex travel arrangements, including research, bookings, and real-time itinerary adjustments.
  • Manage and organize multiple email inboxes, prioritizing key communications.
  • Handle expense reporting and tracking with accuracy and timeliness.
  • Support the creation and refinement of documents, reports, and presentations with strong attention to detail.
  • Act as a gatekeeper and priority manager by confidently setting and reinforcing boundaries on behalf of the executive.
  • Navigate and collaborate with strong, direct personalities in a professional and calm manner.
  • Lead small projects and manage tasks to meet deadlines and drive outcomes.
  • Provide additional administrative support as needed based on evolving client needs.

Qualifications:

  • Minimum of 5 years of administrative experience , preferably with experience supporting sales leaders .
  • Demonstrated success in setting clear boundaries and managing expectations while maintaining professionalism.
  • Flexible availability to respond to requests throughout the day. Our suggested working hours are 8:00 - 5:00 pm EST with the ability to flex your schedule as needed throughout the day. Some clients require specific timezones which will be discussed ahead of time.
  • Excellent written and verbal communication skills.
  • Strong time management and multitasking abilities.
  • Tech-savvy and resourceful problem solver.
  • Remote work experience preferred.
