Closing: 3/6/2026 11:59 PM Eastern Summary This position serves as the central point of contact for the Enrollment Management division. The role provides high level executive and confidential administrative support to the Vice President of Enrollment Management, including managing communications, coordinating initiatives and supporting sensitive matters. Responsibilities include overseeing daily office operations, coordinating personal actions and supporting core EM functions. Additionally, this position manages EM fiscal operations, including budget monitoring and tracking, expense processing and financial reporting to support informed leadership decision making.
Lastly, the position prepares and/or provides coordination, analysis, data collection, reports and other communication for the Division of Enrollment Management and, serves as the principal o?ce liaison to the Directors of the Enrollment Management units and Director of Budgets, the President's Office, the Provost's Office, Human Resources, and Purchasing in matters involving budget, the hiring process, staff contracts, payroll and purchasing and all other functional departments. Essential Functions
- Executive support: Performs initial review of personnel actions including creating requisitions, loading and then monitoring these positions within the Human Resources NeoEd hiring system, scheduling/coordinating candidate's campus visits and associated travel, search committee accommodations, search consultant arrangements. Coordinates and schedules outside consultants' visits. Guides directors as needed to activate a promotion, retirement, resignation, non-renewal of contract. Responsible for the initiation and completion of all offer letters and performance action forms for all administrative and classified staff. Responsible for scheduling and assisting with preparation of director evaluations, planning, disseminating and collecting completed performance evaluations for all functional units. Coordinates and manages VPEM's daily meetings and schedule preparation by ensuring all relevant and pertinent supporting materials, meeting notes or "to dos" have been summarized, organized and disseminated prior to the meeting to ensure the most effective and productive use of meeting time. Manages the VPEM's appointments and travel schedule; registers the VPEM for conferences, coordinates on and off campus arrangement for the VPEM, including locations, travel, lodging, catering services; prepares agendas independently and as directed by the VPEM; initiates the preparation of materials needed by the VPEM; notifies VPEM of specific matters requiring special attention; may attend meetings and take and prepare meeting minutes on behalf of the VPEM.
- Fiscal/Budget related actions - responsible for budgeting related to the Division. Includes monitoring of budget loads (both operational and personnel); salary calculations; carry forward analysis and verifications, initiating budget transfer requests for the division; responsible for assessing and managing incoming budget proposals/requests for accuracy. Compiles, synthesizes and analyzes budget information for the VPEM. Makes recommendations on cost saving strategies. Responsible for office purchasing, bill paying for the Enrollment Management budget and the Graduate Enrollment budget; maintains departmental purchase card. Responsible for monitoring of all RFP contract agreements for the VPEM. Monitors the Adaptive Planning excel sheet to ensure reconciliation of all personnel salary lines within the division, working with the Director of Finance and Administration.
- Compiles, communicates information and communication workflow. Creates and reviews presentations - creates presentations to fit audience type; reviews and creates charts for easy understanding of enrollment data; creates slides for Board of Trustee and other executive level meetings. Compiles, synthesizes and analyzes information on behalf of the VPEM; conducts research on various issues as assigned by the VPEM. Maintains and updates paper and computerized department files and records for reports, future projects. Maintains files for all contracts and PAF's of administrative staff in the division. Coordinates the employee device upgrade request process for the division.
- Plans, oversees, and organizes major and special events within the Division and in cooperation with other University divisions. Maintains and updates all organizational charts for the division.

- Bachelor's Degree
Three (3) years of administrative experience performing one or more of these functions:
- administrative support
- financial transactions and/or reporting
- system-based transactions and/or reporting (e.g., ERP, CRM, MIS, HRIS, SIS, etc.)
