Financial Services Business Assistant
Position Overview
We are looking for a detail-oriented and organized Office Business Assistant to support client meeting preparation, account paperwork, and day-to-day office operations. This role is important in helping our office stay prepared, professional, and efficient when working with clients and financial institutions.
This is an in-person position and is not a virtual or work-from-home job. Only candidates who are willing and able to come to the office will be considered for an interview.
This is a part-time opportunity, starting at approximately 2 to 3 days per week. Based on performance, reliability, and business needs, this role may expand into a full-time position in the future.
Key Responsibilities
· Prepare files for client meetings by researching and gathering current account values for all client accounts held with our office.
· Create and update client profiles in eMoney.
· Create client profiles for client accounts when needed.
· Prepare new client meeting folders and make sure all necessary documents, forms, and account information are organized before meetings.
· Remind clients about upcoming meetings when necessary, preferably 24 hours before the scheduled appointment.
· Assist with completing applications for life insurance.
· Assist with completing applications for investment accounts.
· Communicate with clients, potential clients, and financial institutions by phone or email to gather information, confirm details, and follow up on pending items.
Work Environment and Schedule
· Candidates must be willing to come to the office for scheduled workdays.
· Candidates must have the ability to drive.
· The position will begin as part-time, approximately 2 to 3 days per week.
Technical Skills Required
· Proficient in English.
· Comfortable communicating over the phone with clients, potential clients, and financial institutions.
· Proficient in Microsoft Word.
· Proficient in Microsoft Excel.
· Comfortable working with PDF documents.
· Comfortable using the Windows operating system.
· Able to organize and manage digital client files.
Organizational Skills Required
· Punctual, reliable, and professional.
· High attention to detail.
· Checklist-oriented and able to follow step-by-step processes accurately.
· Ability to manage multiple tasks while staying organized and accurate.
Preferred Qualities
· Strong communication skills.
· Professional phone etiquette.
· Ability to handle confidential client information responsibly.
· Willingness to learn financial services processes and office systems.
· Ability to work independently after proper training.
· Dependable transportation and ability to drive to the office.

Summary
