Rental Coordinator
- Collaborate with clients in advance to plan event logistics, including room layouts, timelines, catering, audiovisual needs, and creative elements
- Develop and maintain clear event plans, timelines, and setup instructions
- Serve as the main contact for clients during weekend events, ensuring a high level of customer service
- Act as Manager on Duty, making decisions and resolving issues on-site
- Oversee event setup, execution, and breakdown, ensuring everything aligns with approved plans
- Monitor event spaces for safety, cleanliness, and adherence to facility policies
- Coordinate with internal teams and facilities staff to address any logistical needs
- Support smooth transitions between events and daily programming
- Maintain organized records including contracts, invoices, setup diagrams, and event summaries
- Track deposits, balances, and additional service charges
- Collect and document client feedback, communicating notes and recommendations to staff
- Assist with specialty and internal events (e.g., campaign events, JCC Golf Tournament, internal parties)
- Help maintain inventory of event-related supplies, linens, and equipment
- Support marketing and community outreach efforts to increase rental space utilization
