Part-Time, Weekends

The Rental Coordinator is responsible for planning, coordinating, and supporting the successful execution of external events (and some internal) held at the Jewish Community Center (JCC). This role serves as the primary liaison between clients and internal departments, ensuring events are executed efficiently, professionally, and in alignment with facility standards while supporting the growth and utilization of rental spaces.

You’ll be the on-site go-to person during events, helping ensure everything runs smoothly while creating a positive experience for our clients and guests.

What You'll Be Doing

Event Planning & Client Coordination

  • Collaborate with clients in advance to plan event logistics, including room layouts, timelines, catering, audiovisual needs, and creative elements
  • Develop and maintain clear event plans, timelines, and setup instructions
  • Serve as the main contact for clients during weekend events, ensuring a high level of customer service
  • Act as Manager on Duty, making decisions and resolving issues on-site

Event Execution

  • Oversee event setup, execution, and breakdown, ensuring everything aligns with approved plans
  • Monitor event spaces for safety, cleanliness, and adherence to facility policies
  • Coordinate with internal teams and facilities staff to address any logistical needs
  • Support smooth transitions between events and daily programming

Administrative & Follow-Up

  • Maintain organized records including contracts, invoices, setup diagrams, and event summaries
  • Track deposits, balances, and additional service charges
  • Collect and document client feedback, communicating notes and recommendations to staff

Support & Growth

  • Assist with specialty and internal events (e.g., campaign events, JCC Golf Tournament, internal parties)
  • Help maintain inventory of event-related supplies, linens, and equipment
  • Support marketing and community outreach efforts to increase rental space utilization

Requirements

Minimum associate degree or comparable professional experience. Ideal candidate has a proven track record as a Facility/Event Manager, is a self starter with a can-do attitude and a high level of organization, able to manage multiple projects at once. Candidate must be a skilled writer and high quality communicator who works well with others. Must be proficient with MSOffice, Google Suite and other relevant agency software.
