AD FOR DEPARTMENT SECRETARY/TREASURER (Office Manager)

Position Responsibilities:

Position Summary:

The Office Manager (Department Secretary/Treasurer) serves as a key administrative leader for the American Legion Auxiliary, Department of Ohio—a nonprofit patriotic organization with over 30,000 members statewide. This individual works closely with the State President to support the continued growth and success of the organization and is responsible for overseeing the day-to-day operations of the Department Headquarters.

Key Responsibilities:

Manage all administrative functions of the Department Headquarters to ensure smooth daily operations.

Support the State President and Department leadership in implementing programs, policies, and initiatives.

Oversee staff, volunteers, and office processes to maintain an efficient and professional environment.

Maintain accurate financial records and reports using QuickBooks; assist with budgeting and fiscal management.

Coordinate communications with members, units, and districts across Ohio.

Assist with fundraising efforts and resource development activities.

Prepare and deliver reports, correspondence, and written communications for leadership and membership.

Represent the organization at meetings, conventions, and public events; respond to media inquiries as needed.

Travel within Ohio and nationally as required.

Maintain and update the department website as needed.

  • Qualifications
  • Nonprofit management experience preferred.
  • Proficiency in QuickBooks and advanced computer skills (Microsoft Office Suite required).
  • Experience working with member-based organizations.
  • Proven effectiveness in fundraising and resource development.
  • Demonstrated success in staff management and team leadership.
  • Strong interpersonal and communication skills, with the ability to work effectively with diverse individuals. Excellent fiscal management and organizational skills.
  • Public speaking experience with both small and large groups.
  • Exceptional writing skills, including experience preparing reports, proposals, and large-audience communications.
  • High energy level, sound judgment, and professional maturity.

Compensation: $38,000 – $42,000 annually, commensurate with experience.

American Legion Auxiliary membership eligibility, required.
