Admin Clerk/Receptionist
Perform administrative and receptionist duties. Schedules appointments, provides information and directs callers, performs administrative and clerical work for multiple functions in the organization.
PRINCIPLE ACCOUNTABILITIES include the following:
Answer incoming calls and route them to proper place/person
Maintain site phone directory
Provide consistent, positive, friendly presence at front desk to greet and direct visitors to proper personnel. Includes maintaining sign in and sign out sheets.
Prepare UPS shipments online and deliver to shipping area/maintain receipts
Prepare and meter outgoing mail; Prepare outgoing mailers; Sort incoming mail.
Maintain office supply level, place orders with vendor, monitor payments, distribute as received and keep supply room orderly.
Arranges and coordinates travel schedules if needed
Maintain "Welcome Board" and all digital bulletin boards in the facility as needed
Order lunches as requested, and set up catered style lunches for events
Maintain calendars for delegated conference rooms
Assist other departments with various projects as time allows
Upkeep of various spreadsheet data
Maintains Client Welcome Outlook Calendar for facility (if applicable)
Book hotel rooms for visitors (If applicable)
Additional responsibilities and duties may be assigned.
KNOWLEDGE/EXPERIENCE/SKILLS: Minimal requirements for education, knowledge and experience:
- High School Diploma
- 1-year experience as receptionist and or administrative duties or customer service-related field
- Working knowledge of Microsoft Office products (Excel, PowerPoint, Outlook, Word)
- Excel skills
- Working knowledge of ERP software
- Ability to provide consistent friendly presence and establish and maintain relationships with employees, vendors and co-workers.

PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS: This position requires the ability to perform the essential duties and responsibilities in the following environment:
- Work schedule generally consists of up to 40 hours per week.
- Ability to lift up to 30lbs.
