VLC Construction Document Administrative Assistant

As our Construction Document Administrative Assistant, you will be responsible for the VLC department's operational efficiency by managing project documents from inception to completion. This role is responsible for maintaining templates, organizing project files, overseeing document revisions, handling RFIs, and providing essential support to the VLC team. The ideal candidate is detail-oriented, possesses strong organizational skills, and is well-versed in construction document management processes.
Key Responsibilities Include:
- Collaborates with the VLC Manager to maintain and revise templates and schedules as needed, ensuring alignment with project requirements and department policies and procedures.
- Regularly update templates to adhere to industry standards and improve department functionality and productivity.
- Retrieve and categorize project-related documents, including those related to project bulletins and changes, ensuring they are easily accessible.
- Create project folders within the VLC project file system, establishing an organized structure. This includes dedicated change folders to maintain accurate version control.
- Oversee the overlaying of current drawing sets with revised sets, ensuring precision.
- Upload project templates and establish file directories for new projects, facilitating efficient team access.
- Independently draft, track, and submit RFIs on behalf of the VLC department, collaborating with project stakeholders to collect necessary information and ensure timely responses.
- Annotate wall-type ratings and other markups on construction drawings as required. Ensure marked-up drawings are comprehensively documented and stored.
- Generate and print installation sheets to facilitate field operations.
Who You Are:
- Must possess general construction industry knowledge; electrical construction knowledge is a plus.
- Must be able to read and comprehend construction drawings.
- Proficient with Microsoft Office Suite products (Word, Outlook, Excel) and Bluebeam.
- A high school diploma or equivalent and a bachelor's degree in a related field are advantageous.
- Proven experience in document control or similar roles in the construction industry.
