Position Overview
The Northern Ohio Educational Computer Association (NOECA) is seeking a highly organized, detail-oriented Administrative Assistant to provide high-level support to the Executive Director and assist with the daily operations of the organization.
This position plays a critical role in supporting E-Rate management, MCOECN product services, student services contracts, fiscal operations, board support, building management, and customer communications. The ideal candidate is professional, proactive, and capable of managing multiple complex tasks with accuracy and minimal supervision.
Key ResponsibilitiesE-Rate & Compliance Management
- Conduct daily Form 470 checks (July 1 – February 26)
- Manage Form 471 contracts, documentation, and timelines
- Track Funding Commitment Decision Letters (FCDLs) and Form 486 submissions
- Process Category 1 and Category 2 invoicing (district and USAC)
- Respond to USAC audits in coordination with NOECA’s E-Rate law firm
- Participate in ongoing E-Rate training
Contracts & Fiscal Support
- Manage student services contracts (including potential DocuSign implementation)
- Conduct monthly connection bill audits
- Track service contracts and invoicing
- Create requisitions for operating needs
- Assist in preparing documentation for the annual audit with the State Auditor’s Office
MCOECN Product & Service Coordination
- Manage product sales, renewals, ordering, and invoicing
- Support service invoicing and contract management
Inventory & Facilities Management
- Check in, tag, and remove inventory
- Monitor NIST standard compliance for building systems
- Coordinate building maintenance issues
Board & Organizational Support
- Prepare board packets, agendas, and minutes
- Assist with conference and lab scheduling
- Provide meeting support, including technical assistance for presenters
- Edit the Continuous Improvement Plan (CIP)
- Coordinate the annual customer survey
- Assist with grant documentation and preparation
- Prepare newsletters and communications
Qualifications
Education & Experience
- Experience in Educational Services or Information Technology, or related field preferred or
- Experience in administrative support, contract coordination, or project management preferred
Requirements
- Valid driver’s license
- Successful BCI and FBI background checks
- Strong written and verbal communication skills
- Ability to interpret technical and administrative documents
- Strong organizational and problem-solving skills
- Ability to manage multiple priorities with minimal supervision
- High level of professionalism and discretion
Working Conditions
- Primarily office-based, quiet environment
- Frequent computer use and typing
- Occasional lifting up to 15 pounds
- Possible local travel
